course of our contract with you (the client), it will be necessary to record
your contract details and work scheme notes in either paper or electronic
systems. This Policy has been updated early to take into account the new GDPR
which comes into effect in May 2018.
INFORMATION WE HOLD
Most information will be held
electronically with some paperwork where necessary i.e. site copies. The
information we hold will include Your Name, Address and contact details, along
with the work we will be carrying out.
This information will only be shared
amongst our own team who will be carrying out the works, and any sub
contractors such as electricians, plumbers, floorlayers who will need your name
& address, occasionally we may share your phone number with either our own
team or subcontractors. Passing your information to other 3rdparties is strictly forbidden.
The only items on works we will use in
the future with your permission are photos of the work, no reference to name or
exact locations are given, i.e. Teignmouth Kitchen. Paper files are archived
and will be retained for a period of 8 years, electronic data is backed up to a
memory stick after 5 years. Information is retained for up to 20 years due to
the nature of some works and future occupants of the building requiring copies
of information / guarantees / warranties. If you are unhappy with how and what
information we hold, you have the right to complain to the ICO.
Individuals have the right to request access
to the data we hold, electronic files can be emailed is the client agrees, if a
client wishes to see their paper files, they will need to visit our offices in
Teignmouth. Individuals have the right to remove any data that references them
or their personal information, this does not include items retained in files
such as timesheets, delivery notes, site reports etc where no reference to the
individual is made. No other request
access from other persons are permitted and unless the client has agreed to any
direct marketing from our own company, no further communications should be
entered into using personal data unless it relates to the works completed, i.e.
checking on warranties etc.
Only the individual is permitted to make an
access request to view what personal information we hold. No other persons are
permitted to view this data (other than for legal reasons i.e. police, HMRC).
Our Terms and Conditions state that
acceptance of a quotation to carry out works, is an agreement that we hold
basic contact details for the individual i.e. Name, Address, Phone Number.
Where we are working via an agent i.e. Teignbridge Council / Housing
Associations it is assumed that they have gained permissions to hold
Does not apply. We do not hold any
information on children.
Due to the small nature of information held there is
minimal threat of a Data Breach. In the event information is taken via theft or
computer ransomware / virus etc, we will notify the individuals that it may
have affected, along with what data may have been taken, depending on the
circumstances the police may be involved.
